IntelliCentrics SEC3URE is a very flexible and powerful tool for managing facility compliance regulations. You have 100% visibility and control over which supplier vendor reps are onsite and when. You post your access requirements; SEC3URE communicates, monitors, and enforces supplier vendor rep compliance. These topics provide guidance in setting-up and managing SEC3URE Facility Host Administration.

If you see the Administration menu in your SEC3URE application, you have the proper rights to administer and manage requirements in SEC3URE.

     Manage Facilities

Administration Manage Users Add New User

Simply pull-down the Administration menu, select Manage Users, and then Add New User from the left menu. If you need this new person to have Administration Rights then please contact IntelliCentrics directly to provide that level of access to SEC3URE.

Administration Facility Defaults

When checking into facilities, supplier vendor reps normally enter free-form text indicating Location, Person Visiting, and the Purpose of their visits. Facility host administrators can instead restrict these fields as pre-defined drop-down menu selections. Refer to all federal, specific states and local healthcare guidelines for more exemption guidance.

Exemption requests are generally made for medical reasons (such as pregnancy). Review each exemption request and then either approve or deny each credential. Enter an Expiration date if approval is temporary (as is the case in a pregnancy). If the status of a previously reviewed exemption request needs to changed, you can do so by locating the rep's profile via REPsearch and then selecting Exemption Request Reviews.

Exemption requests should only be reviewed by administrators with the authority to make such decisions.

Criminal Background Check Proof Documentation
IntelliCentrics provides the convenience of integrated criminal background checks through our partners at Backgrounds Online (learn more about  SEC3URE Add-on Services). However, these may only be performed on U.S. citizens. Additional background check verification options are now provided for Non-US Citizens to ensure verified and inclusive onboarding with healthcare facilities.

For Foreign Nationals, if a facility allows, a current (within the last 12 months) International Background Check may be provided as proof documentation. It must search records covering criminality, be inclusive in the nation of citizenship of the healthcare professional, and goes back seven (7) years in history. This must also be translated into English.

The option to accept International Criminal Background Checks is managed through facility Credential Requirements.

Criminal Background Check Exemptions
Healthcare facilities may also allow foreign national healthcare professionals to submit signed electronic Criminal Compliance Attestation ("CCA") exemption requests for consideration (for example, Canadian healthcare professional reps whose sales territories include facilities in the northern U.S.) Again, IF the facility allows, each Exemption Request submitted through SEC3URE will be forwarded to a facility administrator for further consideration and approval.

The option to enable Foreign National Criminal Background Check Exemptions is managed through facility Credential Requirements.

It is possible for facilities to allow healthcare professional reps and contracted clinicians to submit exemption requests for some credentials. However, rep exemption requests must be reviewed by facilities before they are valid for access. Again, it is the facility's decision to allow the exemptions at all as well as their consideration for each request submitted. Possible exemption types are:

  • Religious Statement
  • Medical Verifiable Exemption
  • Company Letter
  • Foreign National

Administration Manage Credential Overrides

This guide provides System Administrators with instructions for managing DIVISION and FACILITY -level credential override settings. Credential override settings make it possible for system-level administrators to decide whether lower levels in the hierarchy can override settings established at higher levels.
